Managing Assets

Track company equipment, tools, vehicles in a central registry with assignment and request workflows.

Overview

The asset registry lets you catalog every piece of equipment your company owns β€” from service vehicles and power tools to specialized testing equipment. Each asset has a unique number, can be assigned to a technician, and supports photos and detailed specifications. Technicians can accept or decline asset assignment requests from their mobile app.

Before You Begin

Prerequisites:

  1. You have the Admin or Dispatcher role (or a custom role with Asset permissions).

  2. Technicians need the Asset: View permission to see and accept assigned assets.

Creating an Asset

  1. Click Assets in the sidebar navigation.

  1. Click New Asset.

  1. Enter the Number (auto-generated, starting at 1000 for the first asset).

  1. Enter a Name (must be unique, e.g., "Service Van #3" or "Fluke 117 Multimeter").

  1. Enter the Asset Type (e.g., "Vehicle," "Hand Tool," "Diagnostic Equipment").

  1. Enter Manufacturer, Model Number, and Serial Number.

  1. Click Save.

Expected result: Forz creates the asset with a status of "Unassigned" (yellow badge). The asset appears in the asset list and is searchable.

Note: Asset numbers must be unique integers. Forz auto-generates the next number based on the last asset created. The first asset in a new account starts at 1000.

Adding a Photo

  1. Open the asset you want to photograph.

  1. Click Edit.

  1. Click the Photo field and select an image file.

  1. Click Save.

Expected result: The photo appears on the asset detail page and in the asset list as a thumbnail.

Assigning an Asset to a Technician

Sending an assignment request

  1. Open the asset you want to assign.

  1. Click Assign.

  1. Select the Technician from the dropdown.

  1. Click Assign.

Expected result: Forz sends a notification to the technician. The asset status changes to "Request sent" (cyan badge). The activity log records "Request sent to [Technician Name] by [Your Name]."

Note: Assigning an asset does not immediately transfer it. The technician must accept the request. This creates an accountability handoff.

Technician accepting the assignment

  1. The technician opens their My Assets page or notification.

  2. The technician clicks Accept on the asset request.

Expected result: The asset status changes to "Assigned" (green badge). The user_id is set to the accepting technician, and the request fields are cleared. The activity log records "Request Accepted." If another technician previously held the asset, they receive a notification that the asset has been reassigned.

Assets use an automatic status system based on assignment state:

Searching and Filtering Assets

The asset list supports full-text search and filters:

  • Search: Type in the search bar to find assets by number, name, type, manufacturer, model number, or serial number.

  • Filter by Assignee: Select one or more technicians to see only their assets.

  • Filter by Created Date: Select a date range to find recently added assets.

  • Sort: Click any column header (Number, Name, Type, Manufacturer, Model, Serial Number, Created) to sort.

Deleting an Asset

  1. Open the asset you want to delete.

  2. Click Delete.

Expected result: Forz soft-deletes the asset to the trash bin. The asset no longer appears in the asset list or search results. It can be restored from Settings > Trash Bin.

Warning: If an asset with the same name exists in the trash bin, Forz prevents creating a new asset with that name. Restore or permanently delete the trashed asset first.

Common Scenarios

HVAC company tracking service vehicles

An HVAC company creates assets for each service van: "Van #1 -- Ford Transit 2024" through "Van #5 -- Ford Transit 2022." Each van is assigned to a lead technician. When a technician goes on vacation, the dispatcher reassigns the van to the covering technician, who accepts the request on their phone.

Electrical contractor managing diagnostic equipment

An electrical contractor tracks 15 multimeters and 8 thermal imagers. Each tool has its serial number recorded. When a new apprentice starts, the foreman assigns a multimeter through Forz. The apprentice accepts the assignment, creating a clear chain of custody for the $400 tool.

Plumbing company auditing equipment assignments

A plumbing company filters the asset list by "Unassigned" to find tools sitting in the warehouse. The office manager assigns idle drain cameras and pipe locators to technicians who need them, ensuring equipment is utilized and not forgotten.

Troubleshooting

Problem

Solution

"Asset name already exists"

Asset names must be unique (among non-deleted assets). Check the trash bin β€” a deleted asset with the same name blocks creation. Restore and rename it, or permanently delete it.

"Asset number must be a number"

Asset numbers accept integers only. Remove any letters, dashes, or special characters.

"Technician did not receive assignment notification"

Verify the technician has an active account and push notifications enabled. Check their My Assets page to see if the request appears.
